Sophia Peace Center Policies

Cottages:

Check-in is between 3-6pm (Keys must be picked up at the main lodge office of the Sophia Retreat Center) Check-out is at 11am (Keys must be dropped off at the main lodge office of the Sophia Retreat Center) There is a 2 night minimum for staying at the Sophia Cottages.
No Smoking: There is no smoking within 25 feet the cottages. A charge starting at $250 per room will be added to your bill if there is any apparent smoke or cigarette damage.
Phones: There are no public phones. There is some cell phone reception from the Cottages.
Other Restriction: There is absolutely no trespassing onto neighboring properties. Fireworks are strictly prohibited. No tents on property. No 4-wheeling on property. Firearms are strictly prohibited (except during hunting season). No hunting on property. Absolutely NO fires during fire bans ($500 minimum fine if outdoor fires are lit). No open flames (including candles) inside cottages. No washing of vehicles. No running of generators. No noise that disturbs the other cottage and neighbors. Quiet hours are from 10pm to 8am. You must notify the office if you are going to have additional overnight guests.
Deposit: The Sophia Peace Center requires a deposit to make a reservation in the amount of the first night’s stay. The deposit is refundable (minus a $10.00 fee) if cancellations are made at least 30 days prior to the check-in date. The deposit is not refundable for cancellations less than 30 days of check-in date. Thank you for understanding that we do not make exceptions to our refund policy.
Refunds & Damage Deposit: We collect a $250 Refundable Damage Deposit in the form of a separate check or credit card pre-authorization. Any and all damages to the property or missing items will be charged to your credit card after check out. The full amount will be refunded provided that the facility is left in satisfactory condition. Additional charges may occur if the following is not adhered to: Before Leaving…. All trash must be taken out of cottages and put into the dumpster. All used dishes must be washed and put away. Kitchen sinks and counters must be cleaned. All food must be removed from kitchen and refrigerators. All lights must be turned off. Heat in cabins must be turned to low.

Sophia Peace Center:

No Outside Alcohol: It is illegal to bring alcohol onto the Sophia Peace Center premises. We will provide all alcoholic beverages upon request. All those consuming alcoholic beverages need to be of legal age. Anyone appearing underage will be asked to show ID. If there is any underage drinking on the premises, a county sheriff will be called immediately.

Phones: There are no public phones. Please see the manager for emergencies. There is cell phone access from the Sophia Peace Center.
Additional Charges: Charges will be applied for use of fax, copy, long distant phone usage, additional beverages, or any apparent damage to rooms, facilities, grounds & flora. (Please understand that this is an example of such charges and does not reflect all.)
Retreats, Reunion & Weddings Guest Count Due Dates: 30 days prior to your event date, You must supply the final guest count. Adding, but not decreasing, to the guest count or to services after the 30 days, will be allowed when possible.
Minimum & Exclusive Use for Reunions: The Main Lodge Package comes with access to the Grand Room, Bar/Game Room and Breakfast area. The Mesa House Package comes with access to the outside areas and Pavilion but not to the Main Lodge. The Full Facility Package comes with access to all of our indoor and outside facilities.
Minimum & Exclusive Use for Overnight retreats:  There is a minimum of 12 overnight guests required to reserve a retreat at the Sophia Peace Center.  This gives you exclusive use of the Grand Room meeting & dinning area.  If under 12 guests, there is a minimum cost of $1428/day for your retreat, which includes all meals. For exclusive and private use of the entire Sophia Peace Center property, there is a minimum of 25 overnight guests. If under 25 guests, there is a minimum cost of $2975/day for your retreat. *
Minimums for Weddings: There is a $7,000 minimum charge for the day of the wedding required for hosting your wedding/reception. This minimum requirement includes charges for rentals, catering, lodging, and services (excluding photography, taxes and gratuity).
Deposits & Refunds: The Sophia Peace Center requires a $200 non-refundable deposit to reserve the date of your event. 90 days prior to your event 50% of your estimated invoice will be due and is non-refundable. The total amount of your invoice will be due 30 days prior to your event. If you make a cancellation less than 30 days prior to the reserved date, there will be no refund. Damage Deposit: We collect a $250 Refundable Damage Deposit in the form of a separate check or credit card pre-authorization.The full amount will be refunded provided that the facility is left in satisfactory condition.
